Privacy Statement
Who we are
The Aberdeen Association of Construction Professionals (AACP) is an unincorporated association of construction professionals in the North East of Scotland, founded in 2017. This statement explains what personal information we collect, why, and how we look after it.
What we collect
Depending on how you interact with us, we may collect:
- Your name and contact details (email address, phone number and postal address) when you contact us or apply for membership
- The information you give on the membership application form: date of birth, employer details, professional qualifications, career history, areas of specialism and, for students, course details
- Membership and payment records for current and past members
- Event attendance details when you register for a site visit, talk or social
- Messages you send us by email or through the contact form on this website
How we use it
We use your information to respond to enquiries, assess membership applications, administer membership and fees, and tell you about upcoming events. Messages sent through the contact form are stored in our website’s admin area and emailed to the committee. We do not sell or share your information with third parties for marketing purposes.
Why we’re allowed to use it
UK data protection law requires a legal reason for each way we use your information. Ours are:
- Membership records and invoices: needed to provide your membership (contract).
- Emails to members about events, news and the newsletter: our legitimate interest in keeping members informed. You can unsubscribe at any time using the link in each email.
- Replying to enquiries and assessing applications: our legitimate interest in responding to people who contact us or apply to join.
- Event bookings: needed to arrange the event you have booked (contract).
Who we share it with
We use a small number of trusted services to run AACP. They only use your information to provide their service to us:
- Zoho Invoice to create and send membership invoices.
- HubSpot to send emails and newsletters to members.
- Eventbrite to take event bookings. When you book through Eventbrite, it also uses your details under its own privacy policy.
- Jetpack (part of our website) to handle contact-form messages.
- Our bank to receive membership payments, which are made by bank transfer.
Some of these providers are based in, or store data in, countries outside the UK, including the United States. Where that happens, your information is protected by the safeguards UK law requires, such as the UK–US data agreement or approved contract terms.
How long we keep it
We keep membership records, including your contact details, while you are a member and for one year after your membership ends. Invoices and payment records are financial records, so we keep them for six years. Application forms from people who do not go on to join, and messages sent to us, are kept for up to one year. After that, we delete them securely.
Your rights
Under UK GDPR, you have the right to access, correct, or ask us to delete the personal information we hold about you. To make a request, email contact@aacpaberdeen.co.uk. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
Cookies and third-party services
Our website runs on WordPress and uses Jetpack. A small number of cookies and third-party services are used:
- WordPress sets essential cookies needed for the site to work, for example when you log in or submit a form.
- Jetpack provides our contact form, spam protection and visitor statistics. Statistics count visits to help us understand how the site is used; they are not used to identify you.
- SociableKIT provides the LinkedIn feed on our Events page. When the feed loads, SociableKIT and LinkedIn may set their own cookies or receive information such as your IP address.
- Google Fonts supplies the typefaces on our pages, so your browser connects to Google’s servers to load them.
These services have their own privacy policies. You can block or delete cookies in your browser settings; the site will still work, although the LinkedIn feed may not display.
